Off-Time Policy

Purpose

To provide fair and consistent off-time for optometrists & optical assistants, while keeping branches running smoothly. This policy supports:

  • Work-life balance.

  • Recognition for Saturday & public holiday work.

  • Continuity across all practices.

Scope

Covers all frontline staff & optometrists.
Focuses on off-time linked to Saturdays and public holidays worked.


1. Specifications

  • Normal hours: 08:15–17:00 (unless otherwise in contract).

  • Saturday & public holiday hours: 08:15–13:00.

  • Breaks: 15-min tea + 30-min lunch (between 12:00–15:00)

Off-Time Rules:

  • Saturdays worked = afternoons off

    • Most months = 2 Saturdays → 2 afternoons off → must be combined into 1 full day off.

    • If 5 Saturdays in a month → the extra one may count as a half day.

  • Public holiday worked = 1 full day off.

    • If public holiday falls on a Saturday → public holiday rule takes priority (1 full day, not half).

  • Restrictions:

    • No off-time during month-end (24th–5th).

    • No off-time on Mondays.

    • Must be used in the same month it is earned (no carry-over).


2. Eligibility

All frontline staff & optometrists qualify. Rules apply equally.


3. Planning Off-Time

Optometrists:

  • Must ensure a locum is booked for off days.

  • First & last Saturdays of the month must always have optometrist/locum cover (non-negotiable).

  • No closing of appointment books for off days.

  • Locum hours capped as per Locum Policy.


Team Planning:

  • Discuss off-time in your practice team.

  • Aim to minimise disruptions.

  • Practice Captains + team must complete Pulse Roster at the start of each month.

    • Once finalised → only changes allowed for genuine emergencies.

  • Ops & HR check rosters in the first week of each month.


4. Fair Usage

  • Use the policy responsibly, in good faith.

  • Misuse → HR & management review.


5. Responsibilities

  • Staff & Optometrists: Follow rules, plan responsibly.

  • Practice Captains: Manage Pulse Roster & ensure coverage.

  • Ops & HR: Monitor fair use & intervene if needed.


6. Enforcement

Non-compliance (unapproved off-time, misrepresentation, etc.) = disciplinary action under Optique’s code.


7. Review Cycle

Reviewed annually, or earlier if operational/regulatory needs change.
